The Challenge

SMEs were drowning in invoice admin — chasing payments, reconciling bank transactions, classifying expenses, and forecasting cashflow with spreadsheets. Existing tools (Xero, QuickBooks) handled the ledger but pushed all the judgment work back to the operator. The brief was a true autonomous agent layer: ingest, classify, dispatch, chase, reconcile, and forecast — with the human only confirming exceptions.

Our Approach

1. Document AI pipeline ingesting PDF/email/scanned invoices; structured extraction at 98.4% accuracy via fine-tuned multimodal model.
2. Agentic credit-control: tone-modulated chase sequences (gentle → formal → legal) that learn per-customer response patterns.
3. Two-way Xero, QuickBooks and FreeAgent sync so it lives alongside (not instead of) existing accounting tools.
4. Cashflow forecast engine that simulates 90 days forward, factoring expected receipts, recurring outgoings and seasonality.
5. Human-in-the-loop dashboard surfaces only the ~6% of items requiring judgment.

The Results

• 92% of invoice processing now fully autonomous — finance teams confirm exceptions only.
• Average days-to-paid down from 38 to 9 across the first 80 customers.
• 0 late fees on outbound supplier invoices since launch.
• 14-day onboarding reduced to 90 minutes via guided Xero/Stripe OAuth.
• NPS of 71 in customer beta — primarily citing time recovered for strategic finance work.
